What Office Puzzle says it is
Office Puzzle describes itself as all-in-one ABA software for scheduling, data, notes, billing and more. Its home page reports 800+ practices, 30k+ ABA staff members and 7.3M+ annual care sessions. It lists clinical features (service plans, data recording and analysis, auto-drafted notes, progress reports), operations features (workflow automation, scheduling, payroll), and billing and compliance features (audit readiness, batch claims, payment status tracking).
- 99 per user, per month with all features included, unlimited clients, sessions and documents, no long-term contracts, and a 30-day risk-free trial.
- Its pricing page says there are no long-term contracts and you can cancel anytime.
- Not necessarily. Most denials come from authorization, identifier, modifier and documentation gaps that can be checked on each note before billing, whatever PM you use.
What its published pricing says
Office Puzzle's pricing page lists $19.99 per user, per month, including every feature across clinical, operational and billing, with unlimited clients, sessions and documents. It states there are no long-term contracts, you can cancel anytime, and no credit card is required to start. New accounts get a 30-day risk-free trial, with prorated billing afterward.
At the published rate the math is simple: a practice with 25 users would pay 25 × $19.99 = $499.75 a month, or $5,997 a year, before any taxes or third-party fees such as a clearinghouse. Count every person who needs a login, including RBTs, analysts, schedulers and billers, because the price is per user rather than per client.
That is one of the few fully public prices in ABA software. RethinkBH and Motivity both direct buyers to contact them for pricing, and CentralReach's terms treat order pricing as confidential.
Tip. Bring three de-identified test claims to every vendor call and ask them to show what their system would do.
Why people look at alternatives anyway
Price is rarely the reason a practice on low-cost software looks around. More often it is a specific workflow: a payer rule the system does not enforce, a report the team needs, or the volume of claims coming back. Before switching, write down the exact problem and test whether the alternative solves it with your data. Questions worth asking any vendor:
- Can it enforce payer-specific modifiers by rendering credential (HM, HN and HO for commercial payers; HN, TS, GT, XP and group modifiers for Florida Medicaid)?
- Does it compute units from documented minutes using Florida's 8-minute rule, and flag mismatches?
- Can it block a claim when the session falls outside the authorization window, or the code is not on the auth?
- Does it check notes for every element in section 6.2.4 of Florida's coverage policy, including the explanation when a parent is absent?
- What does migration cost, and how long does it take?
Where denials actually come from
Most ABA denials trace back to the session record: an authorization mismatch (CARC 197, 198, 284, 296 or 302), a missing identifier or modifier (CARC 16 with RARC N290, N822 or N823), or a medical-necessity challenge (CARC 50) the notes cannot answer. Those are data and documentation problems, and they follow you to any PM.
The low-disruption option
If Office Puzzle works for your team day to day, you do not need to give that up to fix denials. Keep your PM software and add a pre-claim note check: each note is compared with the claim line, the authorization and the payer's rules before submission, and anything missing goes back to the clinician. The rest of your workflow stays as it is.
Watch out. Export your data before you give notice: clients, authorizations with remaining units, notes, claims and remittances.
Bring one denied claim. Leave with the reason.
A free 15-minute claim check. No switching software, no contract.
