CentralReach in its own words

CentralReach lists an AI assistant ("cari") layered across the platform, AI scheduling, real-time draft notes, note review before submission, claim auditing before submission and denied-claim management. Its Pricing Policy describes per-seat billing based on the accounts active in the prior month, never below committed seats. It reserves the right to increase fees on each anniversary by up to seven percent compounding, and to raise committed seats every six months. Its Terms of Service set a 12-month auto-renewing term with 45 days' written notice and no early termination right, unless your order says otherwise.

RethinkBH in its own words

RethinkBH describes point-of-care data collection, online or offline, across data types such as DTT, task analysis and PEAK; scheduling with claim status and drive times on the session card; BillAI billing workflows tied to schedules and session data; and authorization tracking that it says flags potential unit shortages before they affect scheduling. It also lists an RBT training library and a mobile app. Its FAQ says pricing varies by number of users, modules and services, that practices can often be up and running within a few weeks, and that it supports solo practitioners, multi-location practices and state EVV standards.

Questions to ask both vendors

  1. Show a Florida Medicaid 97153 session with concurrent 97155 supervision. How is the XP line produced?
  2. Show the 8-minute unit calculation, and what happens when units do not match the documented minutes.
  3. Show a note missing the parent-absence explanation required by section 6.2.4 of Florida's coverage policy. Does anything stop the claim?
  4. What exactly is included in the quoted price, and what are the renewal notice, price-increase and data-export terms in the order form?
  5. What does migration from our current system include, and what does it cost?

The decision you might not need to make

If your current platform works for scheduling and data collection and the pain is denials or audit risk, you can keep your PM software and add a pre-claim note check instead of migrating. Run it for a month, measure denials, then decide whether a switch is still worth it.

Tip. Score both vendors on one sheet, one row per question, so the comparison stays fair.

Watch out. Compare what you saw in the walkthrough, not what was promised. Get contract terms in writing.
